Terms & Conditions

Effective Date: 01 June 2025

By booking any service from SoundLabs, you agree to the following terms and conditions:

1. Booking and Payment

  • Booking is finalised on a first-paid, and first-confirmed basis. 
  • A 50% deposit is required to secure your event date.
  • The remaining balance is due no later than 10 days before the event date
  • Bookings are only confirmed once the deposit has been received and acknowledged.
  • Deposits are non-refundable under any circumstances.

2. Cancellations and Postponements

  • Cancellations made 14 days or less before the event will still be liable for 100% of the total booking fee.
  • Requests to reschedule will be considered based on availability and are not guaranteed.
  • If rescheduling is possible, an additional fee may apply.

3. Travel and Transport

  • Transport, tolls, meals, and travel costs are not included in the quoted price.
  • These will be calculated based on the round-trip distance from SoundLabs HQ to the event venue.
  • Where overnight stays are required due to travel distance or event timing, accommodation costs will be billed separately.

4. Equipment and Setup

  • SoundLabs will provide all listed equipment as per the selected package.
  • Any additional equipment or services requested outside the agreed package will incur extra charges.
  • The client is responsible for providing suitable access to the venue for setup and breakdown.
  • The client must ensure that the venue provides adequate power supply and weather protection for outdoor setups.

5. Responsibility and Damages

  • The client assumes responsibility for any damages or loss of equipment due to negligence, theft, or misuse during the event.
  • The client absolves SoundLabs, its owners, technicians, staff and other 3rd parties associated with SoundLabs for any damages or losses during the event.
  • SoundLabs staff will operate and manage all equipment.

6. Delays and Interruptions

  • SoundLabs is not responsible for delays or service interruptions caused by weather, venue issues, power failures, or third parties.
  • In the event of a delay on our side, we will do everything possible to make up the time or adjust the schedule accordingly.

7. Force Majeure

If SoundLabs is unable to fulfil the booking due to circumstances beyond its control (e.g., natural disasters, major accidents, strikes, riots, acts of war or violence, etc.), we will inform you as soon as possible and refund any payments made, minus costs already incurred.

8. Use of Media

  • SoundLabs may take photos or videos during the event for promotional purposes unless otherwise agreed in writing.
  • If you do not want any media captured or shared, please notify us in advance.
  • The music and video media supplied to us by the client are deemed to have followed all copyright laws, and they have acquired the rights to broadcast music or video media at a public venue.
